Responsibility for your information

Kelli Ann Robertson Life Coaching determines how and why personal information is collected and used within our practice. Where applicable data protection law uses the term, we act as the data controller for that information.

We use Coaches Console and other service providers to support our operations. These providers process information to deliver their services and may also have separate responsibilities under their own privacy policies.

Coaches Console’s hosting of our website and client portal does not replace our responsibility for the information practices of our coaching business.

For privacy questions or requests, contact kelli@kelliannrobertson.com.

Cookies and similar technologies

Cookies are small files stored on your device. Our website and service providers may use cookies, tags, scripts, and similar technologies to support website operation, security, client login, usage reporting, and embedded content.

You can manage or block cookies through your browser settings. Disabling some cookies may affect the functionality of the website or client portal.

Where applicable law requires consent for particular tracking technologies, that consent must be obtained separately; this policy does not itself provide that consent.

Service providers and payments

We use third-party providers to support our practice, including:

  • Coaches Console: website hosting, client management, forms, newsletters, and resource delivery.

  • Google’s email services: direct email communications.

  • PayPal and Venmo: payment processing.

These providers may access, store, or process information needed to provide their services. Their own privacy policies and service agreements also govern their handling of information.

Payments are processed through the payment service used for your transaction. We receive information needed to confirm payments, manage your account, and maintain business records.

Do not send payment passwords or full credit-card details through email or general website forms.

Private client portal and data security

Coaches Console provides our password-protected private client portal.

According to Coaches Console’s published security information, its platform uses HTTPS-protected pages, username and password protection, and 256-bit encryption technology. It also reports daily system backups.

Within our practice, we use reasonable administrative and technical safeguards and limit access to personal information to those who need it to provide services or support our operations.

We have access to client information needed to manage the coaching relationship. Confidentiality and its applicable exceptions are also addressed in your coaching agreement.

No website, electronic transmission, or storage system can be guaranteed completely secure. Please keep your login credentials private and notify us if you suspect unauthorized access.

When information may be disclosed

We do not sell or rent your personal information.

We may disclose information:

  • To service providers as needed to operate our practice.

  • With your permission or at your direction.

  • When required by applicable law or valid legal process.

  • When reasonably necessary to protect rights or safety, investigate fraud, or address security concerns.

If the business is transferred or reorganized, personal information may be transferred as part of that process, subject to applicable law and any required notice.

Information retention

We retain current and former client records to maintain a history of the coaching relationship, support continuity if a client returns, administer our practice, and meet applicable legal or accounting obligations. Records are not automatically deleted when coaching ends.

Retention periods vary depending on the type of information and its ongoing purpose. When information is no longer needed for these purposes, we take reasonable steps to securely delete or anonymize it.

You may contact kelli@kelliannrobertson.com to request deletion of your personal information. We will consider requests in accordance with applicable law, including any obligations or permitted grounds for retaining certain records.

International processing

Our practice is based in the United States. Our service providers may store or process information in the United States or other countries where they operate.

Data protection laws may differ between countries. Where applicable law requires safeguards for international transfers, we will address those requirements with the relevant providers before making such transfers.

Your privacy rights and choices

  • Request access to your personal information.

  • Correct inaccurate or incomplete information.

  • Request deletion of information.

  • Object to or restrict certain processing.

  • Request a portable copy of information.

  • Withdraw consent where processing relies on consent.

These rights may be subject to legal exceptions. For example, we may need to retain certain records for accounting or legal purposes.

To submit a request, email kelli@kelliannrobertson.com. We may verify your identity before responding. Where applicable, you may also complain to your local data protection authority.

Withdrawing consent does not affect the lawfulness of processing that occurred before withdrawal.

Legal bases for processing

Where applicable data protection law requires a legal basis, we process personal information based on one or more of the following:

  • Your consent.

  • Steps taken at your request before entering into an agreement, or performance of our agreement.

  • Compliance with legal obligations.

  • Legitimate interests, such as responding to inquiries, administering our practice, and securing our services, where those interests are not overridden by your rights.

Sensitive information may require an additional legal basis or explicit consent under applicable law.
